What Helix Business Does
AI booking assistant
Employees book flights and hotels by chatting with Helix, or by speaking to it, in plain language. Travellers need no training, and a request ends in a confirmed booking rather than a list of search results.
Travel policy engine with dynamic budgets
Admins set rules for cabin class, preferred and blocked airlines, number of stops, hotel star rating, advance booking, total trip cost and CO₂. Each rule can pre-select, rank, warn, require approval or hard block. Budgets follow the live market, so the policy stays current without anyone editing it.
Approvals and manager routing
Out-of-policy trips go to the right approver (a manager, finance or a named person), who approves or rejects with one click from email. Before confirming, Helix re-checks that the fare or room is still available at the approved price.
Delegated and bulk booking
Executive assistants and travel admins can book for colleagues, including travellers who have not yet set up an account. "Just Book" applies one chosen trip to many travellers in a single action, with the policy checked for each person.
Expenses and finance controls
Travellers photograph a receipt and Helix reads the merchant, amount, currency, category and date. Finance teams review, approve and export expenses with cost codes and GL mapping, and track spend against each trip.
Spend analytics, audit and carbon reporting
Admins see monthly spend, active trips, pending approvals and a breakdown of flights against hotels. Every policy decision is recorded in an audit trail, and CO₂ can be tracked and controlled through policy.
What Makes Helix Business Different
Market-based budgets instead of fixed per diems
Helix sets hotel budgets from the Median Market Rate, which is the median price of comparable hotels for the same city, dates and star rating, and sets flight budgets from the Lowest Logical Fare for the route and time. If comparable 3-star hotels in Paris cost €180 on a given night and policy allows 20% above the median, the cap that night is €216. A fixed per diem is either too tight in peak weeks or too loose in quiet ones.
Policy applied at search time, fair to the traveller
Helix applies company policy while it searches, not after the traveller has chosen. Travellers see options that already fit the rules, and in-policy choices rank first. The company controls cost without making employees guess what they are allowed to book.
Personalisation for every traveller
Helix learns each traveller's preferred airports, airlines, cabin, seat and hotels, along with context they mention, such as dietary needs. It applies these to every later search. Loyalty programmes are recognised and applied at booking.
Corporate hotel rates
Helix Business gives companies access to corporate hotel rates that can be up to 30% below published rates for the same room. Helix's ROI calculator deliberately uses a more conservative 12% average hotel saving.
Return on investment in months
With the default inputs in Helix's published ROI calculator (200 travellers taking 10 trips a year), the licence pays for itself in 1.3 months. The calculator assumes booking time falls from 25 to 12 minutes per trip and approval time from 6 to 3 minutes. Every assumption can be adjusted on the pricing page.
Helix Business is an alternative to Navan, Perk (formerly TravelPerk), SAP Concur, Egencia and American Express Global Business Travel.
Who Uses Helix Business
Companies with 1 to 100 travellers
(Tier 1 pricing), usually growing SMEs setting up a travel policy for the first time.
Companies with 101 to 1,000 travellers
(Tier 2 pricing), usually replacing a travel management company or a legacy booking tool.
Organisations with more than 1,000 travellers
(Tier 3 pricing).
Buyers and administrators
travel managers, finance leaders, operations teams, HR and executive assistants.
Industries
any organisation where travel cost comes out of its own margin rather than being re-billed to a client.
What the ROI calculator's default scenario (200 travellers, 10 trips each) estimates, per year:
- 433 hours of booking time saved
- 30 hours of approval time saved
- Booking time per trip cut from 25 minutes to 12 minutes
The Team Behind Helix Business
Helix Business is built by Helix Technologies Limited, founded in March 2025 by Gus Fraser (Chief Executive Officer), who previously led AI engineering at a publicly listed consultancy. Lukas Pechar is Chief Technology Officer, and Michael Ros, founder of Sleap.io and Bidroom, advises the company. Gus founded Helix because corporate travel policy still lives in PDFs, and line managers are asked to approve trips without knowing what a fair fare or hotel rate is. Helix Business puts policy and market pricing into the booking itself, so approvers see what a trip costs relative to the market on the day. The company is headquartered in St Helier, Jersey. Can we pay for Helix Business bookings by card?
Helix Business bookings are paid from a company travel balance, not from individual employee cards. Finance teams top up the balance by card or bank transfer, and Helix checks that the balance covers each booking before it is confirmed. Employees never pay for flights or hotels personally, so there are no out-of-pocket travel claims to reimburse.
